StaffingManager Help Center

User roles and permissions

StaffingManager uses role-based access control. Every user is assigned one or more roles, which determine what they can see and do in your organization's account.

Roles Overview

Owner Full control, including billing and company setup. Every organization needs at least one Owner.

Admin Manages team members and company setup, plus full hiring access.

Recruiter Manages job requisitions and moves candidates through assessments, decisions, and offers.

Hiring Manager Oversees open positions and guides candidates through assessments, decisions, and offers for their own team.

A user can hold more than one role at once — select every role that applies when setting up or editing a user.

Default Role on Invite

There is no default role. The admin or owner sending the invite chooses the role(s) for the new user at the time of invite.

Two rules govern who can invite whom:

  • Only Owners can invite other Owners. Admins cannot grant the Owner role.

  • Only Owners and Admins can invite users at all. Recruiters and Hiring Managers cannot send invites.

How to Change a User's Role

  1. Go to Company Settings > Team Members.

  2. Find the user and open their profile.

  3. Under Role, check or uncheck the roles that should apply.

  4. Save your changes. The update takes effect immediately — no re-invite needed.

Note: only Owners and Admins can change roles, and the same invite rule applies — Admins cannot promote a user to Owner.

Guest or Limited-Access Options

There is currently no guest or limited-access role. Every user must be assigned at least one of the four roles above.
